Fair & Festival Must-Haves

With summer upon us, A. Mississippi and Lisa Dobry are thrilled to connect with book enthusiasts at various events this season. Preparing for these events was quite a challenge; I conducted extensive research and planning before making any purchases. I considered not only the appearance of our space but also how it could be expanded and adapted as our book and merchandise offerings increased. Additionally, I contemplated how I could manage the transport, setup, and takedown if one of us were working solo that day.
Must-Have Recommendations for Events
Tents/Canopies: Each venue will have its own set of rules and specifications with regard to size, setup, color, etc. Generally, 10x10, white tents are the acceptable standard. Options for walls, particularly ones with windows, should be considered. Shifting sun throughout the day, wind, and even rain, can be more manageable with the ability to add/remove a wall panel. The added feature of windows can help keep the air flowing even if the panel is up. Quick, easy setup and takedown will be important considerations, as will durability, transport, and product weight.
Weights: Imagine the horror of a wind gusting through the venue, picking up and tossing your tent! No one wants that. Choosing how you will tie down and weight your canopy is a major consideration. Some venues will not allow you to stake into the ground, so you will rely solely on weights that you carry in and out with you. Sandbags, water jugs, cement casings, etc. I've reviewed festival requirements with as much as 50 lbs per leg.
Wagon: Books, tents, tables, chairs, and similar items can be quite heavy, so it's important to transport them efficiently in as few trips as possible. Consider the various terrains you might face when making your choice. Weight capacity, size, portability, wheels, and maneuverability are important specifications to consider.
Seating: Comfortable seating for yourself and for customers to engage with your offerings. You want to be eye level with your customer, to encourage interaction. Choose a chair with the appropriate height.
Table: Choose a sturdy folding table that provides enough space to display your merchandise and promo materials. Give thought to the size of your average venue space. 6x30 fits nicely in most environments. Consider the weight of the table as well, think about what it would be to load, unload, set up, and repeat.
Table Covers: To create a professional and inviting appearance. Choose one with windy conditions in mind. There are great options in stretchy material that will tuck under the table legs and remain in place even in the windiest conditions.
Full-Size Tarp: Mother Nature can shift moods quickly; be prepared for a rapid downpour by having quick protection to toss over your table and products. The tarp can also be used to cover the ground if setting up in a wet area.
Storage Bins: For organizing products and facilitating easy transport. Several smaller bins may be easier to manage than large ones.
Signage: Clear and attractive signs to draw in customers from a distance and promote your brand. A table runner is a great option and may be more economical than other options.
Portable Display Stands: Crucial for effectively displaying books and merchandise. Elevated sections create a visually engaging presentation.
Cash Box or Mobile Payment System: For easy transactions. Plan for taking payments without electricity or internet.
Business Cards: To share contact information with potential customers.
Marketing Materials: Flyers and brochures to promote upcoming events or new releases are great conversation generators for those coming to chat.
Snacks and Water: To keep energized throughout the day.
These items will not only enhance your setup but also make your experience at fairs and festivals much smoother and more enjoyable.
